Equipp (Ralco Group): One connected operating system for equipment rental

A rental operations platform where identity, assets, orders, delivery, and finance move as one chain of state.

The story

What Equipp (Ralco Group) needed, and what we built.

Ralco Synergy has distributed IT hardware to India's top tech companies for 25 years, and Equipp is its digital operating layer for equipment rental. Rental operations get hard fast: a single order can mix an individual or business customer, KYC, multiple products, locked pricing, security deposits, recurring invoices, delivery changes, and returns, usually scattered across separate systems. KUMO designed and built Equipp as one connected model where a customer is identified, an order is managed at item level, a physical unit is assigned, delivery triggers the correct billing state, and every financial adjustment stays linked to the same operational record.

What we delivered

Six areas of production work.

Connected domain model

We designed one source of operational truth across accounts, customers, orders, inventory, and finance, so customer identity, physical assets, billing, and corrections stay linked to the same operational record.

Item-level order engine

We modelled orders as independently managed order items with their own state machine, so a single checkout can carry a primary product, variants, and add-ons with separate statuses, locked slab pricing, and permitted mid-rental edits.

Asset-identity locking

We tied every order item to a physical unit through an Equip or RL number, with mandatory assignment before delivery, duplicate-identifier validation, and blocking when a unit is already leased, so no asset is assigned twice.

Delivery-gated invoicing

We connected invoice state to fulfilment: a confirmed delivery locks the final order configuration and invoice inputs, then moves through draft, paid, partially paid, void, and refunded states with recurring billing for later periods.

Auditable deposit and credit-note ledgers

We built deposits and credit notes as first-class financial records with held, refunded, partially held, and adjusted states, sequential numbering, invoice-linked deduction history, and PDF exports for accounting, so corrections stay additive and traceable.

Role-based access and notifications

We built a Superadmin access module that invites operational users, assigns roles, and exposes only the modules each team needs, alongside comments, mentions, email and in-product notifications, search, and exports.
