Short answer: for a 50-person operations team where 20 people edit and the rest only view, monday.com Pro costs $4,560 a year (20 seats at $19), Asana Advanced costs $5,998 a year (20 seats at $24.99) and Smartsheet Business costs $4,560 a year (20 seats at $19), all billed yearly. A custom workflow app costs $15,000 to $50,000 once. Against monday.com Pro, a $15,000 build only beats the subscription on cost after about 22 paid seats over three years, and a $50,000 build after about 74. So buy the tool when your process fits its boards; build when the process is the thing you sell, or when rules, client access and your own systems are what the tool cannot do. | Custom workflow app (KUMO Starter Build) | Your process built as software: your approval rules, a client or supplier portal, connections to your accounting, inventory or CRM systems, your own database | $15,000 to $50,000 once, typically 2 to 3 months | KUMO published band |
| Larger custom scope (KUMO) | Several departments, multiple systems or a customer-facing product | $50,000 to $100,000 once | KUMO published band |
| Ongoing engineering (KUMO) | A senior team on retainer while you keep adding features | $5,000 to $10,000 per month | KUMO published band |
| Hosting for a custom app | One example: Vercel Pro, with $20 of usage credit included | $20 per developer seat per month, viewers unlimited | vercel.com/pricing |
How to read these numbers. Subscription prices are the vendors' published list prices on the date shown, before taxes, overages, add-ons and seat growth. The custom-build figures are KUMO's published bands for the build only: hosting, model usage, third-party fees and ongoing engineering ($5,000 to $10,000 per month if you have no engineers) sit on top, and we say so wherever a total is compared. A standard tool is the right answer when your workflow fits it; configuration is enough when the gap is small; a custom build is justified only by a specific complexity named on this page, not by preference.
monday.com and Asana show a dollar sign without naming a currency code, and monday.com says its prices exclude tax. Enterprise tiers at all three vendors are quote-only, so none are priced here.
The arithmetic for one team
Take one business: 50 people, 20 of whom build and edit boards, and 30 who only look at status.
Seat cost, per year. monday.com Standard is 20 x $12 x 12 = $2,880 and Pro is 20 x $19 x 12 = $4,560. Asana Starter is 20 x $10.99 x 12 = $2,638 and Advanced is $5,998. Smartsheet Business is $4,560. If all 50 people needed a paid seat on monday.com Pro, the figure becomes $11,400 a year, or $34,200 over three years; on Asana Advanced it becomes $14,994 a year.
Where a custom build breaks even. Over three years, 20 monday.com Pro seats cost $13,680. A $15,000 build costs more than that before it has paid for hosting or upkeep, so at 20 paid seats the subscription wins on cost alone. The two lines cross at about 22 Pro seats for a $15,000 build ($15,000 divided by $19 x 36 months) and about 74 seats for a $50,000 build. On Asana Advanced the crossing points are about 17 and 56 seats. These are KUMO's calculations on the published prices above and they ignore the custom app's own hosting and upkeep, so treat them as the earliest the build could break even.
Seat cost alone rarely justifies building. Teams that build usually do it for one of the reasons below.
When each route is the right one
- Your process fits boards, statuses and assignees: buy. Project tracking, content calendars and simple request queues are what these tools are for, at about $3,000 to $6,000 a year for 20 editors.
- You hit automation or API limits: look at the plan, then at building. monday.com Standard allows 250 automation actions a month and Smartsheet Pro 250; a team that runs order, invoice or dispatch logic through boards uses that in days. Pro's 25,000 actions a month raises the ceiling, and so does moving the logic into your own software.
- Customers, suppliers or contractors need to log in and see only their own work: build. Guest access in these tools is built for collaborators, not for a portal with per-account rules, branding and an audit trail.
- The data must sit in your systems: build. If quotes, stock levels or job costs live in your accounting or inventory system, a custom app can read and write them directly instead of copying values onto boards.
- The rules are the business: build. Pricing logic, approval chains that change by amount or region, compliance sign-offs.
- You already outgrew a spreadsheet-style tool: compare with the next step. Retool vs Airtable vs a custom internal tool prices the middle route, and no-code vs custom app development covers when to move.
What a Starter Build buys
A KUMO Starter Build ($15,000 to $50,000) is a launched first production version of one workflow: your rules, your screens, logins for the people who need them, connections to one or two of your systems, tests on real cases and a handover another engineer can continue from. See no-code to custom for how KUMO moves a team off a tool it has outgrown and AI product and platform engineering for how builds are scoped. KUMO's founders built Volopay's first production version as its founding engineers, a finance product where every approval and every movement of money had to be traceable. That proof is adjacent: the overlap is approvals and audit trails, which is the discipline an approval workflow needs.
Costs after launch
Platform costs recur and rise with headcount and plan tier. A custom app has hosting, a database, monitoring and engineering time for changes. Decide before you sign who changes a rule when your process changes; if you keep adding features, the $5,000 to $10,000 monthly band applies.
How to get a real number this week
Count three things: how many people edit versus only view, how many automations or API calls you use a month, and the three steps in your process where someone copies data from one system into another. With the first two you can run the arithmetic above yourself. With the third, a free 30-minute call with an engineer gives a band for your brief.
FAQ
How much does monday.com cost for 50 users? On Pro it is $19 per seat per month billed annually, read 8 October 2026, so 50 paid seats cost $11,400 a year. monday.com also offers unlimited free viewers from its Basic plan, so many teams pay for fewer seats than they have people.
How much does Asana cost for 50 users? Asana Advanced lists $24.99 per user per month billed annually, which is $14,994 a year for 50 users; Starter at $10.99 is $6,594.
Is Smartsheet cheaper than monday.com? No, at the published yearly prices Smartsheet Business and monday.com Pro both list $19 per seat per month. Smartsheet Business has unlimited automations; monday.com Pro caps them at 25,000 actions a month.
Is it cheaper to build your own workflow app than to pay for monday.com? Not on seats alone for a small editing team. A $15,000 build beats monday.com Pro on three-year cost at about 22 paid seats, and a $50,000 build at about 74. Below that, the reasons to build are portals, rules and your own systems.
Can a custom workflow app take over from monday.com or Asana? Only for the specific workflow you build it for, with your rules, your systems and your portal. It does not reproduce a mature platform's full feature set; most companies keep the platform for general task tracking and run the one workflow that did not fit in the custom app.
